What you’ll do

AlixPartners is looking for a People Operations Professional on a nine-month fixed term contract to provide full support to the People Operations Team in the UK. The role provides an excellent opportunity for an individual with an interest in HR looking for a varied and busy role working closely with the People Operations Director, People Business Partners, internal legal counsel, Staffing and the Talent Acquisition team.

The People Operations Professional will have the ability to prioritise a varied and demanding workload. Excellent attention to detail is a critical requirement of the role, as well as the ability to think creatively and act on your own initiative.  The successful candidate will need to anticipate the needs of the team and be confident in their ability to communicate effectively with a remote audience and the senior stakeholder population.

General duties

  • People Ops lead for at least two communities. Advising PBP team on the best approach for different FWA / Leaver/ Joiner / ER scenarios. Advising Talent Acquisition on the best approach for different new hire scenarios
  • Lead support managing the UK Benefits program
  • Managing ongoing sickness management cases
  • Manage new PIPs with the PBP team
  • Ad hoc project work within the ODHR Team, EMEA People Operations Team or the business as required
  • Create Word, Excel and PowerPoint presentations as directed by the People Operations Director
  • General administrative tasks within the People Operations Team and Payroll in the UK

Records and Reporting

  • Utilise technical and analytical skills in a specific functional area such as for Gender Pay Gap Reporting.
  • Maintain accurate HR records including personnel files (electronic copies)
  • Provide reports from HR information systems (Oracle) and maintain tracker spreadsheets
  • Assist with the validation and production of compensation data
  • Maintain immigration and visa records

Documentation, Policy and Process

  • Build new or enhanced processes and ways of working as required
  • Management of HR core processes including maternity leave, paternity leave, shared parental leave, flexible working, sickness, and absences
  • Assist with the integration and maintenance of the new HR policies, procedures and the Global HR system
  • Draft contracts and amendments of employment and Independent Contractor (IC) agreements
  • Ensure the probation process is compliant from a Company policy perspective
  • Support the Payroll Manager to collate benefits and payroll data
  • Process any HR-related expenses and invoices

Onboarding and offboarding

  • Work closely with the ODHR Team to ensure that processes are aligned to support the onboarding of all new colleagues
  • Check completeness of new hire documentation and ensure appropriate stakeholders are informed
  • Manage the background screening for new hires and escalate any flags or risks as necessary with legal or PBP
  • Manage the exit process for leavers

Immigration and transfers 

  • Assist with visa and immigration requirements for the local office/region, including liaising with external lawyers to ensure the company is compliant with visa requirements, managing the process for application of new visas
  • Provide the Global Mobility Team with general visa and immigration administrative support in EMEA

Benefits

  • Assist with Management of the benefits programme / portal and app for the UK and escalate queries where appropriate to pension or benefit providers
  • Provide monthly benefit usage stats and key facts to senior management highlighting any areas of concern or improvements.
  • Ensure Covid-19 hub and document is kept up to date
  • Assist with management off-Cycle Benefits Enhancements as needed
  • Keeping track of changes such as new policies (2023 neonatal leave and pay, Carers leave) cycle to work increasing limits by the government, to ensure we can offer a top place for talent.
  • Assist with Total Reward Statement 2021 and analyse the data required to update the system, draft and send communications in a timely and accurate manner.

Audits and SMCR

Arrange the Benefits Budget and Renewal Proposals for 2022Assist with managing the benefits portal renewal life cycle including promotes to LLP, invoicing and reconciliation, quarterly review meetings, organise the benefit survey in 2021.

    • New Hire audits
    • Provide documents and data for SOC, finance and other ad-hoc audits
    • Manage and record the annual screening process, side letters & Fit & Proper tests FCA-certified individuals.

What you’ll need 

  • Solid experience in a similar role within an HR team. Professional services is desirable. Bachelor's degree preferred, but not essential
  • Ability to work in a fast-paced and matrix structured challenging organisation and able to respond positively to pressure
  • Excellent attention to detail, as well as the ability to think creatively
  • Strong computer skills, IT literacy, and HR Systems experience
  • A highly developed sense of risk management
  • High degree of professionalism when interfacing with colleagues and clients
  • Ability to take initiative, prioritise, exercise judgment with minimal supervision
  • Ability to maintain confidentiality and discretion when handling sensitive information.
  • Exceptional verbal and written communication and interpersonal skills
